    1. Acceptance of Terms

    By accessing or using ProofVault, you agree to these Terms of Service. If you do not agree, do not use the service.

    You must be at least 18 years old to use ProofVault.

    2. Description of Service

    ProofVault is a digital organization tool that helps users store and organize receipts, warranties, and proof-of-purchase information.

    ProofVault is provided for convenience and reference only. It is not:

    • an insurance product
    • a legal record system
    • a tax filing system
    • a compliance archive
    • a guaranteed backup solution

    You remain solely responsible for maintaining your own official records and copies.

    3. No Professional Advice

    ProofVault does not provide legal, tax, accounting, or financial advice. Any categories, labels, or calculations are for convenience only and may not be accurate for your specific situation.

    You are responsible for verifying all records before using them for tax, warranty, reimbursement, or legal purposes.

    4. User Accounts

    You agree to:

    • provide accurate information
    • keep your login credentials secure
    • be responsible for all activity under your account
    • notify us of unauthorized access

    We are not responsible for losses caused by compromised credentials.

    5. Free and Paid Services

    Guest Mode: Guest uploads are temporary and may be automatically deleted after approximately 24 hours. No recovery is guaranteed.

    Free Plan: Free users have record and feature limits that may change.

    Paid Plan: Paid subscriptions unlock additional features. Pricing, features, and limits may change with notice.

    Subscriptions renew automatically unless canceled. Cancellation stops future billing but does not refund prior charges except where required by law.

    6. Refunds and Billing Policy

    All subscription fees are billed in advance on a recurring monthly basis.

    Payments are non-refundable. We do not provide full or partial refunds for unused time, unused features, or partial billing periods.

    If you cancel your subscription, your paid features will remain active until the end of your current billing period. After that date, your account will automatically downgrade to the free tier (if available), and no further charges will be made.

    You are responsible for canceling your subscription before your next billing date if you do not wish to be charged again.

    In cases of verified billing errors or duplicate charges caused by a technical fault, we may issue a refund at our sole discretion.

    7. User Content

    You keep ownership of your uploaded content. You grant ProofVault a limited license to store, process, display, and transmit your content only to operate the service.

    You are responsible for:

    • legality of your uploads
    • having rights to upload them
    • maintaining your own backups

    8. Data Loss & Backup Disclaimer

    You understand and agree:

    • ProofVault is not guaranteed storage
    • Data loss can occur due to bugs, outages, third-party failures, user error, or system faults
    • Warranty alerts and reminders may fail or be delayed
    • Exports and image links may expire

    You are responsible for keeping independent backups of important documents.

    9. Acceptable Use

    You may not:

    • upload illegal or fraudulent material
    • attempt to access other users' data
    • abuse or overload the system
    • reverse engineer the service
    • bypass limits or protections

    We may suspend accounts for abuse.

    10. Third-Party Services

    ProofVault relies on third-party providers such as:

    • payment processors (Stripe)
    • cloud storage providers
    • email and notification services

    We are not responsible for outages, errors, or data loss caused by third parties.

    11. Service Availability

    We do not guarantee uninterrupted or error-free operation. The service may be modified, suspended, or discontinued at any time.

    Features may change without notice.

    12. Limitation of Liability

    To the maximum extent allowed by law, ProofVault is provided "as is" and "as available." We are not liable for:

    • lost receipts
    • missed warranties
    • missed reminders
    • tax errors
    • lost reimbursements
    • business losses
    • indirect or consequential damages

    Our total maximum liability will not exceed the amount you paid in the last 12 months or $50, whichever is greater.

    13. Indemnification

    You agree to defend and indemnify ProofVault from claims arising from:

    • your uploads
    • your misuse of the service
    • your violation of these terms

    14. Termination

    We may suspend or terminate accounts for violations or abuse. You may stop using the service at any time.

    15. Changes to Terms

    We may update these Terms. Continued use after updates means you accept them.
